Rename invoices automatically

Invoices arrive with names that say nothing: Scan_20261011_0012.pdf, invoice.pdf, document (3).pdf. Tria reads them, names each one with the supplier and the date, and files it in the folder for its quarter, so your accountant can find it without opening it.

Tria isn’t on the Mac App Store yet: it’s coming soon. In the meantime, you can do this with the CLI, which is free. If you’d like to know on day one, write to hola@lyn.cat.

Before and after

Scan_20261011_0012.pdf lands in the inbox and ends up as Factura Papeleria Mar - 2026-10-11.pdf in 2-Facturas Recibidas/2026/4T.

Tria doesn’t trust the file name: it reads the content, including scanned invoices and photos. From it, it works out who issued the invoice, the date and the type of document, and your rules decide the name and the folder. For each invoice it shows you the proposal and the reason, and nothing moves until you approve it.

The Freelancer template’s pattern

The templates are in Spanish and Catalan, built for freelancers and small businesses in Spain, so the folder and file names on this page are in Spanish, just as Tria creates them. The Freelancer template comes with a pattern ready for your accountant:

InvoiceFolderName
Received2-Facturas Recibidas/AAAA/1T…4TFactura [Proveedor] - AAAA-MM-DD
Issued1-Facturas Emitidas/AAAA/1T…4TFactura Emitida [Numero] [Cliente] - AAAA-MM-DD
  • The quarter comes from the invoice date, not the payment date.
  • An invoice is issued if you are the issuer: your name, your trading name or your tax ID, as they appear in your profile. Otherwise, it’s received.
  • Expense receipts go with the received invoices.
  • Names have no accents or special characters, and the original extension is kept.

If you want English names, ask for them with Ask Tria, for example “Name received invoices Invoice [Supplier] - YYYY-MM-DD”.

Step by step in the app

  1. Create a space with the Freelancer template: Your first space explains how.
  2. Drag the invoices onto Tria’s window or save them to the inbox, 99-Pendiente.
  3. In the Inbox (⌘2) you’ll see each invoice with its new name, the folder and the reason. Change anything with “Edit…”.
  4. Click “File All N”. If you make a mistake, undo it in History (⌘3).

Step by step with the CLI

bash
tria init --template autonomo --lang es# creates the rules and the folderstria sort# reads the inbox and shows you the proposals

tria sort lets you review each proposal before anything moves; with --dry-run it only proposes. It’s all in tria sort.

Scanned invoices and photos

Tria reads PDFs with text or scanned, images (JPG, PNG, HEIC, TIFF, GIF and BMP), Word, RTF, ODT, Excel (.xlsx), CSV, TXT and Markdown. The text is extracted on your Mac. A password-protected PDF or a format it doesn’t know stays in the inbox with the reason.

Special cases

  • Two invoices with the same name. Tria never overwrites: it adds “ (2)” to the second one.
  • A repeated invoice. If it’s identical to one already filed, Tria sets it aside without reading it with the AI, and you choose: Trash, 98-Duplicados, or file it anyway.
  • An invoice with no date or no clear issuer. Tria doesn’t guess: it stays pending in the inbox, with the reason.

Changing the pattern

If your accountant wants it another way, tell Tria in one sentence with Ask Tria, for example “For received invoices, put the date first and then the supplier”. Or change it by hand in TRIA.md.

What it doesn’t do

  • It never deletes or overwrites anything. It only names and moves, and everything can be undone.
  • It doesn’t store your invoices. What gets sent to the AI to read them is in What gets sent.
